Student Management
Section titled “Student Management”Student Management is the foundation of Quanta, allowing you to maintain comprehensive profiles, track attendance, and manage enrollments.
Understanding Student Profiles
Section titled “Understanding Student Profiles”Each student has a complete profile containing:
Basic Information
Section titled “Basic Information”- Full name
- Date of birth
- Email address
- Phone number
- Address
Enrollment Details
Section titled “Enrollment Details”- Enrollment date
- Current status (active, inactive, graduated)
- Assigned educator(s)
- Associated tier/plan
- Payment method
Academic History
Section titled “Academic History”- Sessions attended
- Attendance rate
- Progress notes
- Certificates/achievements
- Performance metrics
Financial Status
Section titled “Financial Status”- Total paid
- Outstanding balance
- Payment history
- Tier information
- Pricing details
Adding Students
Section titled “Adding Students”Manual Entry
Section titled “Manual Entry”- Go to Students → Add Student
- Fill in required fields:
- Full name
- Phone
- Enrollment date
- Optional:
- Date of birth
- Address
- Parent/Guardian info
- Click Create
Student profile created and ready for session assignment.
Bulk Import
Section titled “Bulk Import”For adding multiple students:
- Go to Students → Bulk Import
- Download CSV template
- Fill in student data
- Upload file
- Review and confirm
- Click Import
Students created in batch with automatic notification.

Section titled “Student Dashboard”View all students with:
- List View - Table with key information
- Card View - Visual student cards
- Search - Find by name, email, or ID
- Filter - By status, enrollment date, tier
- Sort - By name, activity, payment status
Quick Actions
Section titled “Quick Actions”For each student:
- View full profile
- Edit information
- Schedule session
- Send message
- View attendance
- Check payment status
Managing Student Profiles
Section titled “Managing Student Profiles”Edit Student Information
Section titled “Edit Student Information”- Click on student name
- Click Edit
- Update any fields
- Click Save
Changes saved and audit trail recorded.
Update Student Status
Section titled “Update Student Status”Change status as students progress:
Active → Student is currently enrolled On Hold → Temporary pause in lessons Inactive → No longer attending Graduated → Completed program
- Open student profile
- Click Change Status
- Select new status
- Add reason (optional)
- Confirm
Status change logged with date and reason.
Deactivate Student
Section titled “Deactivate Student”When student leaves:
- Open student profile
- Click Deactivate
- Enter end date
- Process final payment
- Confirm
Student moved to inactive status, historical data preserved.
Student Attendance
Section titled “Student Attendance”View Attendance History
Section titled “View Attendance History”- Click on student
- Go to Attendance tab
- See:
- Sessions scheduled
- Sessions attended
- Attendance rate
- No-shows
- Cancellations
Attendance Rate Calculation
Section titled “Attendance Rate Calculation”Attendance Rate = (Sessions Attended / Sessions Scheduled) × 100
Example:Sessions Attended: 9Sessions Scheduled: 10Attendance Rate: 90%Manage Attendance
Section titled “Manage Attendance”- Mark Present - Student attended
- Mark Absent - Student didn’t attend
- Mark No-Show - Student didn’t cancel but didn’t attend
- Excuse - Valid reason for absence
Attendance Alerts
Section titled “Attendance Alerts”Get notified when:
- Attendance drops below 80%
- Student has 3+ consecutive no-shows
- Pattern indicates disengagement
- Session not marked within 24 hours
Student Tiers
Section titled “Student Tiers”Each student has an associated tier:

Change Student Tier

- Click Tier Settings
- Select new tier
- Review pricing change
- Confirm
Tier change effective immediately with prorated billing.
Payment Management
Section titled “Payment Management”View Payment Status
Section titled “View Payment Status”For each student see:
- Total paid this month
- Outstanding balance
- Payment due date
- Payment history
- Invoices
Process Payment
Section titled “Process Payment”- Open student
- Click Payments tab
- Click Process Payment
- Enter amount
- Choose payment method
- Confirm and process
Payment recorded and receipt generated.
Payment History
Section titled “Payment History”View detailed payment records:
- Date of payment
- Amount
- Method (card, bank, cash)
- Status (pending, completed, failed, refunded)
- Associated sessions
- Receipt/invoice
Groups and Batches
Section titled “Groups and Batches”Create Student Group
Section titled “Create Student Group”- Go to Groups
- Click Create Group
- Name the group
- Add students
- Save

Section titled “Benefits of Groups”- Send bulk messages
- Schedule group sessions
- Generate group reports
- Apply group discounts
- Manage by skill level
Reports and Analytics
Section titled “Reports and Analytics”Student Performance Report
Section titled “Student Performance Report”View for each student:
- Sessions attended
- Attendance trend
- Average session duration

- Regular check-ins - Review student progress monthly
- Follow up on absences - Quick follow-up improves retention

- Update status - Mark inactive/graduated students appropriately
