Session Management
Section titled “Session Management”The Session Management feature allows you to schedule, track, and analyze all classroom teaching sessions.
What is a Session?
Section titled “What is a Session?”A session represents a single teaching interaction between an educator and one or more students. Each session includes:
- Date & Time - When the session occurred
- Duration - Length of the session in minutes
- Student(s) - Who attended
- Educator - Who taught
- Status - Scheduled, in-progress, completed, cancelled
- Notes - Session content and observations
- Attendance - Actual students who attended
- Payment - Associated billing information
Creating Sessions
Section titled “Creating Sessions”Schedule a Session
Section titled “Schedule a Session”- Navigate to Sessions → Schedule New
- Select session type (one-on-one, group, class)
- Choose date and time
- Select student(s)
- Set duration (in 15-minute increments)
- Add description (optional)
- Click Schedule
Session is now visible on calendar and sent to students.
Quick Session Log
Section titled “Quick Session Log”For immediate session entry:
- Click Log Session from dashboard
- Select student(s)
- Enter actual duration
- Add notes (optional)
- Click Log
Session recorded with current timestamp and payment calculated.
Managing Sessions
Section titled “Managing Sessions”View All Sessions
Section titled “View All Sessions”Navigate to Sessions to see:
- Calendar View - Visual week/month layout
- List View - Detailed session information
- Student View - Sessions by student
- Educator View - Sessions by educator
Edit Session
Section titled “Edit Session”- Click on session
- Click Edit
- Modify details (date, time, duration, notes)
- Click Save
Changes update instantly and affected parties are notified.
Cancel Session
Section titled “Cancel Session”- Click on session
- Click Cancel
- Choose reason (optional)
- Select notification option
- Confirm
Cancellation logged and refund processed if applicable.
Reschedule Session
Section titled “Reschedule Session”- Click on session
- Click Reschedule
- Select new date/time
- Add rescheduling reason (optional)
- Confirm
All parties notified of new schedule.
Session Status
Section titled “Session Status”Sessions have distinct statuses throughout their lifecycle:

| Scheduled | Future session booked | Edit, Cancel, Reschedule |
| In Progress | Currently happening | End Early, Add Note |
| Completed | Finished normally | View, Analyze, Repeat |
| Cancelled | Not happening | Reschedule, Archive |
| No-Show | Student didn’t attend | Mark as no-show, Follow up |
Session Templates
Section titled “Session Templates”Create templates for recurring sessions:
Create Template
Section titled “Create Template”-
Go to Sessions → Templates

Click New Template
-
Set:
- Time of day
- Duration
- Recurring pattern (weekly, bi-weekly, etc.)
- Student(s)
- Notes

Click Create
Use Template
Section titled “Use Template”- Click Schedule Session
- Select From Template
- Choose template
- Confirm details
- Click Schedule
Recurring sessions automatically created.

Section titled “Session Notes”Add detailed information about sessions:

- Homework assigned
Observation Notes
- Student engagement
- Improvements needed
- Skills demonstrated

Administrative Notes
- Payment status

Adding Notes
Section titled “Adding Notes”- Open session
- Click Add Note
- Select note type
- Type content
- Click Save
Notes are searchable and attached to session record.
Attendance Tracking
Section titled “Attendance Tracking”Mark Attendance
Section titled “Mark Attendance”For group sessions:
- Open session
- Click Mark Attendance
- Check off students who attended
- Note any absences
- Click Save
Attendance automatically recorded and attendance rate updated.
Track No-Shows
Section titled “Track No-Shows”- Select session
- Click Mark No-Show
- Confirm student(s)
- Choose follow-up action
- Send notification
No-show tracked and follow-up initiated.
Session Analytics
Section titled “Session Analytics”Session Metrics
Section titled “Session Metrics”View statistics on:
- Total sessions taught
- Average session duration
- Student attendance rate
- Most frequent students
- Busiest times
- Revenue per session
Generate Reports
Section titled “Generate Reports”- Go to Reports → Sessions
- Select date range
- Choose metrics to include
- Select format (PDF, Excel, email)
- Download or send
Session Payment
Section titled “Session Payment”Payment is automatically tracked for each session:
Automatic Billing
Section titled “Automatic Billing”- Session logged → Payment calculated
- Amount based on tier pricing
- Automatically invoiced if on monthly plan
- Pay-per-session available for some tiers
Manual Adjustments
Section titled “Manual Adjustments”- Open session
- Click Adjust Payment
- Enter new amount (if needed)
- Add reason for adjustment
- Save
Adjustment logged in payment history.
